PRIVACY POLICY

Your privacy is important to us. It is the Association of Scottish Hardwood Sawmillers’ (ASHS) policy to respect your privacy regarding any information we may collect from you across our website.

This privacy policy sets out how ASHS controls, processes, and protects your personal information while browsing or using this website, including your rights under current laws and regulations. If you do not agree to the following policy, you may wish to cease viewing/using this website.

What we collect

Log data

When you visit our website, our servers may automatically log the standard data provided by your web browser. This data is considered “non-identifying information”, as it does not personally identify you on its own. It may include your computer’s Internet Protocol (IP) address, your browser type and version, the pages you visit, the time and date of your visit, the time spent on each page, and other details.

 When we send you an email newsletter, we may collect data about how you use our emails – for example; whether you open them and which links you click on, including your IP address.

 

Personal information

When you contact ASHS with an enquiry about any of our services, or to enquire about/apply for membership to our organisation, we may ask for your personal information. This might include:

  • Your name

  • Email

  • Phone number

  • Address

  • Professional information

 This data is considered “identifying information”, as it can personally identify you. We only request personal information relevant to providing you with a membership or service, or sending you a newsletter (if you have requested this). We only use this information to help provide or improve our service to you.

 

Use of information

Log files allow us to record visitors’ use of the site, which we may then use to update and develop our website. Log files do not contain any personal information about you, or information about other sites you have visited.

We may use your personal details to contact you regarding a service or enquiry you have logged with us, or to send you a newsletter if you have opted to receive one.

If you have provided personal information via one of our membership application forms, ASHS will use this information to assess your membership request.

 

Enquiries made via any of our webforms are forwarded to the ASHS Co-ordinator. In order to improve our service to you, the co-ordinator may then pass your information on to other ASHS members.

ASHS members are separate companies and are requested to follow the same data procedures that ASHS is regulated by. We do not pass on any of your information outside of our organisation. We do not use your information for any other purpose than to better provide your requested services.

 

 

Data processing and storage

We will only keep your personal data for as long as necessary to provide a service, to improve our services in the future, or for as long as is set out in any relevant contract you hold with us.

If you register an interest in receiving updates on our organisation via email or newsletter, your details will be kept indefinitely. You have the right to check the details that have been supplied by you, to update these details, or to request your details be removed.

While we retain this data, we will protect it within commercially acceptable means to prevent loss and theft, as well as unauthorised access, disclosure, copying, use, or modification.

 

 

Cookies

We use “cookies” to collect information about you and your activity across our site. A cookie is a small piece of data that our website stores on your computer, and accesses each time you visit, so we can understand how you use our site. This helps us serve you content based on preferences you have specified.

 

Third party access to information

Enquiries made to the ASHS co-ordinator via email or webform may be shared with other ASHS members in order to improve our services to you. ASHS members are separate companies and are requested to follow the same data procedures that ASHS is regulated by.

Details shared with ASHS members may include: your name; your email and phone number – so that members can respond to your enquiries directly; your location – so that our member businesses know if they are an appropriate distance to provide a requested service.

 

ASHS use GoogleGroups to connect our members. Upon approval of your membership request your supplied email address will be added to a GoogleGroup for your membership category. You will be consulted on this process in your membership processing and have the right to opt out at any time.

We will refuse government and law enforcement requests for data if we believe a request is too broad or unrelated to its stated purpose. However, we may cooperate if we believe the requested information is necessary and appropriate to comply with legal process, to protect our own rights and property, to protect the safety of the public and any person, to prevent a crime, or to prevent what we reasonably believe to be illegal, legally actionable, or unethical activity.

 

We do not otherwise share or supply personal information to third parties. We do not sell or rent your personal information to marketers or third parties.

 

 

Limits of our policy

This privacy policy only covers ASHS’ own collecting and handling of data. We only work with partners, affiliates and third-party providers whose privacy policies align with ours, however we cannot accept responsibility or liability for their respective privacy practices.

 

Our website may link to external sites that are not operated by us. Please be aware that we have no control over the content and policies of those sites, and cannot accept responsibility or liability for their respective privacy practices.

 

ASHS use GoCardless to manage its subscriptions for memberships and the Full Circle magazine. GoCardless stores your data related to setting up a mandate with them. You can read more about GoCardless’ data privacy management on their website.

 

 

Your rights and responsibilities

As our user, you have the right to be informed about how your data is collected and used. You are entitled to know what data we collect about you, and how it is processed. You are entitled to correct and update any personal information about you, and to request this information be deleted.

You are entitled to restrict or object to our use of your data, while retaining the right to use your personal information for your own purposes. You have the right to opt out of data about you being used in decisions based solely on automated processing.
